Wheeler Systems LLC("Wheeler Systems," "we," "us") provides web-based operations software for contractors and subcontractors. This policy describes how we collect, use, store, and protect information when you visit our website, request a demo, or use the Wheeler Systems platform as a customer.

Information we collect

Website / demo requests

When you submit a Book Demo or contact form, we collect information you provide, such as your name, company name, business email, phone number, company type or trade, approximate employee count, message, preferred contact method, and optional meeting preferences. We also record the source page or pricing tier you selected, if applicable.

Customer accounts

When your organization uses Wheeler Systems, we store account and operational data your team enters into the service. This may include user profiles and login credentials (stored in hashed form), customer records, work orders, equipment and maintenance records, inventory, crew information, quotes, alerts, audit history (where enabled), and related business data needed to operate the platform.

Technical information

Like most web services, our systems may process standard technical data such as IP addresses, browser type, device information, and server logs for security, rate limiting, and reliability.

How we use information

• Provide, operate, secure, and support the Wheeler Systems platform
• Respond to demo requests and sales or support inquiries
• Send transactional and service-related communications, such as password reset messages, operational alerts, and quote approval notifications where those features are enabled for your account
• Maintain platform reliability, troubleshoot issues, and prevent abuse
• Improve the service based on legitimate operational needs

We do not sell your personal information. Demo and contact submissions are used to follow up on your request and understand your operational needs.

Service providers

We use trusted third-party providers to host and operate Wheeler Systems. Depending on configuration, these may include:

• Cloud hosting (for example, Vercel) to serve the application
• Database infrastructure (for example, Supabase / PostgreSQL) to store account and operational data
• Email delivery (for example, Resend) to send transactional and service emails
• Payment processing, when offered
• Communications services, when offered

These providers process information on our behalf only as needed to deliver the service. Their own privacy practices may also apply.

Security

We use reasonable administrative, technical, and organizational measures designed to protect information, including encrypted connections (HTTPS), access controls, authenticated sessions, and role-based permissions within customer accounts. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Retention and deletion

We retain customer account and operational data for as long as your organization maintains an active account or as needed to provide the service, comply with legal obligations, resolve disputes, and enforce agreements. Demo and contact submissions are retained for a reasonable period to respond to inquiries and manage sales follow-up.

Customers may request changes to or deletion of account data subject to contractual terms and operational requirements. Contact us using the information below with privacy-related questions or requests.

Your subscription agreement

If you become a Wheeler Systems customer, data handling for the subscribed service may also be governed by your Master SaaS Subscription Agreement and related order documents. This website privacy policy supplements those agreements for website and pre-sales contact activity.
